How To Share A Large Number Of Contact Labels

Sharing contacts is quite easy with Shared Contacts for Gmail®, however when you have dozens, or even hundreds of contacts labels to share with the same user, it makes the process extremely difficult to handle.

For instance, Michael has 200 labels, which means he will need to click on “Share” and add each user and chose their permissions 200 times.

To avoid this dilemma, we propose 2 simple tricks: Solution 1: Share your labels with groups instead of users and Solution 2: Select several labels at a time.

Time needed: 3 minutes.

Follow these simple steps below to mass share labels:

  1. Solution 1: Share your labels with groups instead of users.

    For this you need to be a Google workspace G Suite Administrator. Access your admin console and simply add a domain group > Click onto Groups > Create Groups > Fill in Group Information > Decide Access Type. Click here to see a step-by-step guide on this step.

  2. Access your Shared Contacts for Gmail® and click the share icon of the label you would like to share.

  3. Enter a group domain in the collaborator search box, just like you would if you were adding any individual collaborator.

    In this step, you can add user access permission by clicking the downward arrow on ‘View only’. When applying permissions for domain groups, it is important to remember all participants within the group will be allocated the same access permissions, as they are set on a group level.

  4. As you can see the domain group is now a collaborator for this label, meaning all participants within the group have access to the labels contacts!

  5. Solution 2: Select several labels at a time in Shared Contacts for Gmail®.

  6. Click on the ‘Share’ icon located at the top of your dashboard.

  7. Add the collaborators you would like and set their access permissions by clicking the downward arrow on ‘View only’ to view all access options.
